To operate Zhongtai Virtual, we collect the following information:

Identification Data: Name, username.

Contact Data: Email address.

Simulation Data: VATSIM User Data (if authorized by the user via OAuth)

Technical Data: IP address, browser type, and “cookie” data (collected automatically when you visit our site).

Operational Data:

• Flight logs (PIREPs), including but not limited to departure/arrival airports, aircraft type, and flight duration, aircraft state, HILS data, StableApproach data, or any other data you spontaneously upload to our nextcloud file server, either manually or using our client.
• Training records taken by our instructors

Why We Collect This Data

Under GDPR, we process your data based on:

Contractual Necessity: We need this data to provide the services you signed up for (e.g., logging your flights and maintaining your pilot profile).

Legitimate Interest: To maintain the security of our website and prevent “double-accounting” or fraudulent registrations.

Consent: For non-essential cookies or newsletters (which you can withdraw at any time).

How We Use Your Data

We use your information to:

• Manage your pilot account and satisfy VATSIM VA audit requirements.
• Track flights operated by our members.
• Communicate important airline updates via email.
• Ensure compliance with our community rules.

Data Sharing & Third Parties

We do not sell your data. However, we may share limited data with:

Simulation Networks: To verify your standing with VATSIM and satisfy our VATSIM VA audit requirements.

Hosting Providers: Our website and database are stored on secure servers located in Finland, EU by Hetzner.

Discord: If you link your account to our Discord server.

Note that a list of all our current members, including registered display name and VATSIM CID, would be made public on our website.

Your Rights

Under the GDPR, you have the following rights:

Right to Access: You can request a copy of the data we hold about you.

Right to Rectification: You can update your information via your pilot profile.

Right to Erasure (“Right to be Forgotten”): You may request that we delete your account and all associated personal data.

Right to Data Portability: You can request your flight history in a machine-readable format.

Data Retention

We keep your data as long as your account is active. If you are inactive for more than 12 months, we may anonymize or delete your personal data, though statistics may be kept in an anonymized form.
